FlowerSchool NY is seeking an experienced Event & Sales Manager to oversee event sales, production, and on-site management for our event space, ILA Penthouse.

Established in 2003, and with a second location in Los Angeles, FlowerSchool has built a reputation for being a premier destination for those seeking floral design training.
Sharing the same venue, ILA Penthouse serves as FlowerSchool’s sister company and a beautiful venue making use of our lush, botanical space. ILA Penthouse is a versatile indoor/outdoor venue ideal for everything from corporate team-building and training sessions to milestone celebrations, baby showers, weddings, and unique dining experiences.

About the role:
As the Event & Sales Manager, you will lead all event sales and oversee the full lifecycle of each event—from initial inquiry to day-of execution. This is a hands-on role ideal for someone who thrives in a dynamic environment, enjoys planning and production, and is passionate about design, hospitality, and customer service.
You’ll be responsible for managing multiple events at once, building client relationships, producing event logistics, and collaborating across departments.
Event Sales Lead:

Prepare and manage sales materials for ILA Penthouse venue. This includes managing the promotional materials archive, preparing new materials to use for promotion, and organizing event photo & video content.

Respond promptly to event inquiries via email, phone, and third-party platforms

Conduct venue tours and follow up with prospective clients
-
Maintain long-term relationships with repeat and referral clients
-
Learn to use event softwares to facilitate sales and management of events, including Tripleseat, Details.flowers, and Google Suite.

Connecting with the Marketing Team to coordinate well thought out promotions and industry open houses.
Event Production Management:
-
Manage planning and production for booked events. This includes developing floorplans, run-of-show documents, and design proposals.
-
Coordinate with clients on décor, design, and menu selection for all events.
-
Manage staffing from hospitality vendors for all private events, including internal event staff and third-party staff, using TopShelf Staffing and Instawork. On site coordination is required.

Be on-site for event execution as needed, including evenings and weekends
Studio/Inventory Management:
-
Ensure the venue remains event-ready at all times
-
Oversee all event-related inventory, including décor, dishware, glassware, and linen and the storage/organization of items.

Maintain accurate inventory of alcohol, beverages, and supplies and manage event-specific ordering
-
Collaborate with the Studio Manager to maintain organization and cleanliness.

Assist with light janitorial tasks as needed, including refilling bathroom and kitchen supplies, light sweeping and tidying, and helping with trash management.
Administrative & Office Responsibilities:
The Event & Sales Manager will have office work responsibilities which include, but is not limited to:

Manage paperwork including contracts, COIs, invoices, and production expenses

Track all event financials and maintain internal sales reporting systems

Identify new customer segments and revenue opportunities
Hours of Operation:
FlowerSchool is open daily from 9 - 6pm, Monday - Friday. Your schedule, however, will be dependent on the schedule of the private events and will not be tied to the daily operation of the school. You are expected to be on site a minimum of 40 hours per week and will manage your hours.
The Event & Sales Manager is expected to be available on nights and weekends to assist with events as they arise.
Salary & PTO Information:
This position is a full-time position and the introductory base compensation is $65,000 - $80,000 per year, paid on a bi-weekly basis. You will be added to payroll where payment is deposited via direct deposit and taxes withheld.
A commission structure is available after one month of successful employment. Commission is available after $20,000 of sales are made within a calendar month. The commission for event sales will be 5% of the gross amount over $20,000. For an event to be eligible, client payment must clear, and the project closed, all paperwork filed, details recorded and with no residual issues. All commissions are paid out after the close of the prior month. Commissions will only be awarded on events completed through the end of employment.
After 2 months of successful employment, you will receive 3 weeks of paid vacation, one floater, one between Christmas and New Years and one at the end of the summer (3 total), plus 5 paid sick days. All vacations must be approved and put on the official vacation calendar 2 months in advance. Finally, there will be a formal review process every 30 days to make sure that employment is mutually agreeable for the first 6 months. Afterwards, reviews will take place every 6 months.

This role is essential to maintaining a clean, organized, and event-ready environment, supporting floral production, and ensuring smooth hospitality operations for both internal classes and private events.

The venue shares its space with the FlowerSchool studio and requires meticulous upkeep and flexibility to serve both educational and hospitality functions. The venue offers full-service packages, including in-house catering, bar services, event design, floral installations, and essential rentals such as tables, chairs, linens, dishware, and glassware. Both FlowerSchool and ILA Penthouse proudly operate with eco-conscious values.
About the role:
This is a hands-on operational role that requires someone who takes pride in keeping a beautiful, creative space running smoothly. You’ll be responsible for maintaining the cleanliness and organization of the kitchen and venue, managing floral and event storage, supporting food and beverage operations, and assisting with floral class and event prep.
The ideal candidate is organized, physically capable, and enthusiastic about supporting a range of activities—from preparing floral classes to resetting the venue for a dinner party. This is a great role for someone who enjoys working behind the scenes and being a key part of a fast-paced creative team. The Venue & Studio Manager must also be comfortable lifting up to 50 lbs, using ladders, managing IT needs, & being on your feet throughout the day
The general responsibilities will include, but are not limited to, the below:
Daily Operations & Studio Support:

Manage the organization and inventory of all materials across the studio and venue

Take ownership of the overall professionalism and cleanliness of the space:

Ensure the venue is always “show-ready”

Set up and break down for classes and events

Support pre- and post-production shopping or setup tasks

Act as a welcoming resource for students and guests. This includes greeting visitors upon arrival and being familiar with the daily schedule of classes and events.
Storage & Inventory Management:

Organize and maintain all back-of-house storage, including floral tools, décor, event supplies, and kitchen equipment

Manage inventory of supplies for both floral design and event needs (e.g., vases, plates, linens, & cleaning supplies). While floral & event supplies are separate, FlowerSchool & ILA Penthouse share this one physical space and must stay organized.

Coordinate with Event & Sales Manager on event food & beverage
Janitorial & Facility Care:

Maintain the cleanliness of classrooms and work areas, including cleaning tables, mopping floors, scrubbing buckets, and sinks.

Take out compost, trash, and cardboard daily; return bins in the morning

Taking ownership of space logistics, including WiFi management, Sonos speakers, and relationships with building management.
Event Production & Hospitality Support:

Serve as point person for ILA Penthouse event materials and setup

Preparing floral displays and buffet or beverage stations

Cleaning dishes and resetting space after events, as needed

We are seeking a creative and organized Social Media & Marketing Coordinator to join our team & to manage our social presence on Instagram and Facebook, as well as manage other marketing channels including marketing. The ideal candidate has a strong eye for design, excellent writing skills, and a passion for storytelling through content.
